How to choose water bottles for your business: material, lid and engraving

The custom water bottle has become the default corporate gift for an unromantic reason: it is the only piece of merchandise an employee uses several times a day. It does not compete for a place in a drawer. It competes for a place on the desk, and it almost always wins.

It is also the object that gives away a bad purchasing choice fastest. A bottle that leaks in a rucksack, tastes of metal after three weeks or has a logo that wears off in the dishwasher does not go unnoticed: it is abandoned, and the memory it leaves is the opposite of the one you were after.

This guide covers the three decisions that determine the result (material, lid and marking method), so you can compare options before you ask for a quote.

Why the bottle pays back more than the rest of the merchandise

Almost all corporate merchandise has a frequency-of-use problem. A notebook gets filled and put away. A T-shirt gets washed and waits in the wardrobe. A bottle is used several times a day, every working day, for years.

It is that frequency that justifies paying more per unit. A bottle used every day for three years costs less per brand exposure than a cheap item that ends up in a drawer in the first week.

There is also a sustainability argument that does not need exaggerating: a reusable bottle replaces hundreds of single-use containers over its life. It is one of the few responsible-merchandise claims that stands up without caveats. To see how we check the rest, see our sustainability page.

Material: the decision that conditions everything else

The material determines the weight, the insulation, the durability and, above all, which personalisation methods are possible.

Double-walled stainless steelYes, vacuum insulatedVery highField teams, travel, outdoors
Borosilicate glassNoMediumOffice, premium image, no residual taste
Glass with a silicone sleeveNoMedium to highMixed use, protection against knocks

Stainless steel is the default option for corporate merchandise: very tough, it generally accepts all three marking methods and withstands years in a rucksack. The Atlas steel bottle and the high-grade steel bottle are two steel options in the catalogue.

Borosilicate glass wins on one specific point: it transfers no taste. If the team drinks herbal tea or coffee, the difference is noticeable from the first day. The borosilicate glass bottle with bamboo lid is a glass option. The downside is obvious (glass breaks), so it is not the right choice for teams that are always on the move.

Double wall is only worth the extra cost if someone has to carry a hot or cold drink for hours. For a bottle that lives next to a keyboard, it is weight and price with no benefit. The hot and cold vacuum bottle is the vacuum-insulated option. Check the stated insulation performance for the specific model rather than assuming it from the material.

The lid: the detail that decides whether the bottle survives

This is the part almost no catalogue describes, and the one that generates the most complaints after the order.

A screw lid with a silicone seal is leakproof and does not let you down. A click or button lid is more convenient to open one-handed, but it is also the one that leaks in a bag after a few months of use, when the seal gives way.

The practical rule:

  • A bottle that travels in a rucksack or handbag: screw lid with a seal, without exception.
  • A bottle that stays on a desk: a click lid is acceptable and more convenient.
  • A bottle with a loop or carabiner: check that the loop is part of the lid and not a glued-on piece.

Always ask for a physical sample before confirming the order and do the simplest test there is: fill the bottle, close it and stand it upside down on a sheet of paper for ten minutes.

Marking: what lasts and what wears off

Three methods, with very different results after two years.

Laser engraving

It marks the metal itself by removing the surface layer. It is not ink, so it cannot rub off the way ink can: it stands up to the dishwasher, rucksack friction and time. The result takes the natural tone of the steel, generally silver against the colour of the bottle, with no way of reproducing your brand colour.

It is the right choice when the bottle has to last for years and the logo works in a single colour.

UV printing

It deposits an ink cured with ultraviolet light on the surface. It allows full colour, gradients and multi-ink logos. It holds up well in normal use, but it is the method that suffers most in a commercial dishwasher and under continuous rubbing.

It is the right choice when the brand colour is not negotiable.

Screen printing

Ink applied through a screen, one colour per pass. There are set-up costs per colour, but a very economical unit cost from medium volumes. Durability sits between laser and UV.

Most steel bottles accept all three methods, but the choice depends on the exact finish of the model, so confirm it per product before you approve the proof.

Quantities, prices and real lead times

Minimums are set per product and shown on each product page, not as one rule for the whole catalogue, so confirm them before you fix a budget. Each product page shows an indicative "from" price for a basic configuration; the quote gives the real total for your quantity, marking and delivery.

Standard production is 10 to 20 working days after proof approval, confirmed per order in the quote.

How the bottle fits into a welcome kit

The bottle is one of the three most frequent items in welcome kits, and for good reasons: it is useful from day one, does not depend on size and does not carry the all-or-nothing risk of clothing.

If you are putting together a complete kit, the combination that works best is a bottle, a notebook and a garment, with the bottle as the piece the employee keeps using when the rest has been put away. Explore the full range on our employee welcome packs page.

Before confirming the order

Five questions to ask any supplier, not only us:

  • Have you received a physical sample and done the leak test?
  • Do you know whether the marking is laser, UV or screen print, and what each one withstands?
  • Do you know the real capacity in millilitres, and not just a "standard size"?
  • Is the inside 304 or 316 steel, or is it not specified?
  • Does the quote include packaging and delivery, or are they charged separately?

If any of these questions has no clear written answer, you do not yet have a quote: you have an estimate.

In summary

For most teams, the right choice is single-walled stainless steel with a screw lid and laser engraving. It is the combination that lasts longest, ages best and holds the fewest surprises after two years.

Move to double wall only if someone carries a hot or cold drink for hours, and to borosilicate glass only if taste matters more than toughness.
