Merchandise for events and trade shows: the complete guide
What merchandise works at trade shows and events: a two-tier strategy, how many to order, realistic lead times and mistakes to avoid. Checklist included.
By Zintora Team

A good share of the merchandise handed out at trade shows ends up in the hotel bin. Not because merchandise does not work, but because almost everyone gives away the same things: pens that do not write, bags that split and sweets with a logo on.
Related catalogue product: Weekend duffel bag.
This guide is about doing the opposite: fewer items, better chosen, that people keep, and that carry on working for your brand months after the event.
The golden rule: give something that survives the journey home
Anyone who visits a trade show goes home with a suitcase full of clutter. Your item is competing for a place in that suitcase. The right question is not "what can we give away?" but "what would they not throw out when packing?"
What survives: thermal bottles, sturdy thick-cotton tote bags, quality notebooks, fun socks, power banks. What does not: flyers, cheap pens, thin plastic merchandise, anything that looks like filler. For more options, browse our branded merchandise.
A two-tier strategy: footfall and conversion
The classic mistake is buying 500 units of one thing. The stands that work best use two tiers:
Tier 1, the footfall item (for everyone): something visible that people carry around the show and that prompts "where did you get that?" Eye-catching tote bags and socks with a fun design are the kings of this category. Keep the unit cost low, because this is the item you hand out in volume.
Tier 2, the conversion item (for qualified leads): a premium gift handed over in conversation, not piled on the counter. A quality thermal bottle, an embroidered cap, a compact kit in a box. Spend more per unit here. This is the one your prospect will have on their desk when you write the following week.
Indicative split: 80% footfall / 20% conversion.
How many to order (and when)
- Quantity: work out expected attendees x 0.6 for the footfall item. Overestimating is throwing money away; running short on day two is worse.
- Real lead times: standard production is 10 to 20 working days after you approve the proof, confirmed in the quote. Add margin for the mock-up, changes and shipping. Order 5 weeks before the event and you will sleep easy. (Tight on time? Ask us, and the quote will confirm what lead time is possible.)
- Delivery to the venue: confirm the goods-receipt dates with the organisers, then tell us whether to deliver to the stand, the hotel or your office.
What works by type of event
| Event | Footfall item | Conversion item |
|---|---|---|
| B2B trade show or conference | Thick tote bag with a design (not just a logo) | Thermal bottle plus a boxed notebook |
| Tech or start-up event | Socks with a design, quality stickers | Embroidered hoodie (size asked at the time) |
| Internal event or kick-off | Event T-shirt | Full welcome kit |
| Open day | Mug or bottle | Gift box with a local product |
Design matters more than the object
A tip worth more than any catalogue: people keep design, not logos. A tote bag with a lovely illustration and your logo kept small gets used for years. The same tote with your logo at full blast does not. Think of your event merchandise as a brand collaboration with yourself: design first, branding second.
No design team? Tell us about your brand and we will suggest designs along with the mock-up in your quote.
Merchandise checklist for your next event
- Define the two tiers: footfall plus conversion
- Work out quantities (attendees x 0.6)
- Ask for the mock-up with 5 weeks of margin
- Confirm goods receipt at the venue
- Prepare replenishment stock for day 2
- Plan the follow-up: what a qualified lead receives after the event
