Which B2B Gifting Platforms Explain Their Total Costs Clearly?

B2B gifting platforms explain their total costs clearly when a single quote lists every component: the products, branding and set-up, packing and kitting, storage, any platform or subscription fee, processing charges, shipping per destination, duties and taxes, and what happens to gifts that are never claimed or come back. If a line is missing, ask for it.

Headline prices rarely tell you what a gifting programme will cost. One platform charges a subscription and keeps product costs low, another charges nothing up front and adds a processing fee to every send, and a merchandise supplier quotes each project as a whole. This guide gives you a checklist of cost components and a way to compare quotes like for like. It does not quote any amounts: the point is to know what to ask for. For an overview of the companies themselves, see our guide to the best corporate gifting companies.

Why the headline price misleads

A gifting platform sells several things at once: the gift, the software that sends it, the logistics that deliver it and sometimes the storage in between. Each can be priced separately, bundled or hidden inside another line. Three patterns make headline prices hard to compare:

  • Fees moved between lines. A platform with no subscription may charge more per send, and one with a subscription may charge less. Neither is cheaper until you know how many gifts you will send.
  • Costs that depend on behaviour. Storage grows the longer items sit in a warehouse; failed deliveries and unclaimed gifts add costs you only see later.
  • Costs that depend on geography. Shipping, duties and import tax vary by destination, so a quote for UK recipients says little about a list that includes other countries.

The cost components to ask for

Use this table as a checklist when you ask for a quote. A platform that explains its total costs clearly will be able to give you an answer for every row, even if that answer is "not applicable".

ComponentWhat it coversQuestion to ask
ProductsThe items themselves, per unitIs the unit cost fixed for my quantity, or does it change with volume?
Branding and set-upPrinting, engraving or embroidery, screens or plates, artwork preparationAre set-up costs per design, per colour or per item?
PackagingBoxes, inserts, tissue, cardsIs branded packaging included or extra?
Kitting and packingAssembling several items into one packIs it charged per pack or included?
Platform or subscription feeAccess to the software, campaigns, integrationsIs it monthly, annual or per seat, and what is included?
Processing or service feeA charge per send or a percentage of spendWhat is it calculated on, and does it apply to shipping and tax too?
StorageHolding items in a warehouse before they are sentHow is it charged, and from when?
Pick, pack and dispatchTaking stored items out and sending themIs it charged per order, per item or per parcel?
ShippingDelivery to each address or officeIs it priced per destination country, and is tracking included?
Duties and import taxCharges when parcels cross a customs borderAre they included (delivered duty paid) or left to the recipient?
Failed and returned deliveriesRe-sending, returns, address correctionsWho pays to re-send, and is there a charge for returns?
Unclaimed giftsGifts sent by link that are never redeemedIs unspent money refunded, credited or kept?
Payment chargesCard fees, currency conversionAre there charges for paying by card or in another currency?

You will not need every row. A project quote for branded welcome packs delivered to one office does not involve storage or redemption links. The point is to know which rows apply to your programme and make sure each one is priced.

Pricing models you will come across

B2B gifting platforms and suppliers tend to use one of four models, sometimes mixed:

  1. Subscription platform. A recurring fee for the software, with gifts and shipping charged on top. It suits companies sending gifts continuously through a sales or HR team.
  2. Pay per send. No subscription, but a processing or service fee on each gift, sometimes a percentage of its value. It suits occasional sends, but the fees add up with volume.
  3. Stored inventory. You buy branded items in bulk, the platform stores them and charges for storage and dispatch as items go out. It suits steady, predictable demand.
  4. Project quote. A supplier quotes a defined order, such as a set of welcome packs or a client gift run, with products, branding, packing and delivery itemised. It suits planned campaigns and one-off orders.

None of these is better in itself. What matters is matching the model to how you actually send gifts, then comparing total cost on the same basis.

How to compare quotes like for like

Two quotes are only comparable if they describe the same job. Before comparing, fix these variables and send the same brief to every platform:

  • The same quantity. Prices per unit change with volume, so ask for the same number of gifts.
  • The same items and branding. Specify the item type, the branding technique and the number of colours or positions.
  • The same packaging. A plain mailer and a branded presentation box are different products.
  • The same destinations. List how many recipients are in the UK and in each other country.
  • The same delivery terms. Ask every platform to quote delivered duty paid for international recipients, or every platform to quote without it.
  • The same tax basis. Compare quotes either all ex VAT or all including VAT. General information, not tax advice. Check with your accountant.
  • The same timing. A rushed order may carry extra charges; ask for quotes for the same date.
  • The same sign-off. Check that each quote includes a proof before production, so you are not paying to correct mistakes later.

Then work out a total cost per gift delivered: everything in the quote, divided by the number of recipients who actually receive a gift. That single figure is the fairest way to compare a subscription platform, a pay-per-send platform and a project quote.

Costs that appear after the quote

Even a clear quote can miss costs that depend on what happens later. Ask about these in advance:

  • Address problems. A wrong or incomplete address can mean a returned parcel and a second delivery. Who pays?
  • Customs bills. If parcels are not sent delivered duty paid, recipients may be asked to pay, and refused parcels can come back to you.
  • Leftover stock. Items bought for storage that are never sent still cost money, and may keep incurring storage fees.
  • Changes after approval. Changing artwork, quantities or addresses after sign-off can add charges.
  • Expiring credit. Some platforms let prepaid balances or unclaimed gift money expire. Check the terms.

How Zintora prices projects

Zintora is a quote-only supplier of branded merchandise for businesses. We do not publish prices: each project is quoted with the products, branding, packaging and delivery set out, so you can see what each part covers. Pricing is confirmed in your quote, ex VAT; printing and delivery are extra, UK import VAT and duties are paid on delivery. You approve a digital proof before anything is made. Production takes 10 to 20 working days after proof approval, confirmed in the quote.

Minimums depend on the product and are stated on each product page. For example, the Grey four-piece welcome pack starts at 1 pack, while the Premium shipping box with logo starts at 50 units. Zintora delivers across the UK and internationally to Europe, the Middle East and Africa, Asia-Pacific and the Americas, and the quote shows delivery for each destination on your list.

Frequently asked questions

Why do B2B gifting platforms price so differently?

Because they sell different mixes of software, products, storage and logistics, and put fees in different places. Comparing the total cost per gift delivered, for the same brief, removes most of the difference in presentation.

Is a platform with no subscription always cheaper?

No. A platform without a subscription may charge more per send through processing or service fees. Which is cheaper depends on how many gifts you send and how often.

Should I compare prices with or without VAT?

Either works, as long as every quote is on the same basis. Businesses registered for VAT usually compare ex VAT. General information, not tax advice. Check with your accountant.

What is a fair way to compare a platform and a supplier?

Give both the same brief, ask both to price delivery to the same destinations on the same terms, then divide each total by the number of gifts delivered.

Do I pay to request a quote?

Not with Zintora: requesting a quote does not require payment, and you only commit once you approve the quote and the digital proof.
